Booking and Property Policies

 

Rates and Taxes 
All rates are quoted in U.S. Dollars and are subject to change. Your final rate is confirmed at the time of booking and is subject to a 12% Transient Occupancy Tax, a 2% Santa Barbara Tourism Business Improvement District assessment, and any other applicable state or local taxes. If your reservation was secured through a third-party booking platform, these local taxes and fees are typically collected and remitted by that platform at the time of purchase. Hearth Hospitality Group will never duplicate tax or fee charges that have already been collected by an authorized third party.

Amenity Fee & Inclusions 
For select applicable properties, a mandatory, property-specific Amenity Fee (plus applicable taxes) will be applied to your reservation. This fee supports the exclusive services and amenities provided during your stay at that specific location. If your reservation is subject to this amenity fee and/or any separate property fee with your accommodations, breakfast will be included throughout your stay. The amenity fee is strictly non-refundable and applies to your reservation regardless of whether the specific property amenities (including breakfast) are utilized by you or your party. The exact amount of this fee will be clearly itemized during your booking process. If your third-party booking channel did not collect this mandatory property-specific Amenity Fee at checkout, it will be charged directly to your authorized credit card on file by Hearth Hospitality Group.

Booking Requirements 
To maintain an intimate and exclusive guest experience, we open our calendars within specific timeframes and maintain strict age requirements for our properties:

  • Standard Room Reservations: Bookings for any of our individual rooms at HHG Properties (4 Bedroom Main House, Lotus Suite, Granada, Harbor, Butterfly, and Rose Rooms) can be made up to 45 days in advance of the arrival date.

  • Simpson House Inn Room Reservations: Bookings for individual rooms at the Simpson House Inn can be made up to 120 days in advance of the arrival date.

  • Full Property Buyouts & Events: For larger gatherings, private events, or full property buyouts at any of our locations, reservations can be made up to one year in advance. If you are interested in booking a full buyout outside of this one-year window, please contact us directly for more details.

  • Age Requirements: The primary booking guest must be at least 21 years of age for standard room reservations and at least 25 years of age for full property buyouts. The primary guest must be present for the duration of the stay. Valid government-issued identification may be required for verification.

Securing Your Reservation, Deposits & Payment Authorization 
A valid credit card is required to confirm any reservation. Depending on the booking channel used, your initial room rate may be charged by the third-party platform or directly by Hearth Hospitality Group. By providing your credit card information, you explicitly authorize Hearth Hospitality Group to charge your card for any remaining balances, applicable taxes, property-specific fees, or required deposits not collected by the third-party platform.

 

  • Security Authorization & Incidental Charges: To safeguard our properties, Hearth Hospitality Group reserves the right to require a security deposit or place a pre-authorization hold on your credit card prior to or upon arrival. You expressly authorize Hearth Hospitality Group to charge the credit card on file for any unpaid balances, property damages, missing items, or fines incurred due to violations of these Booking and Property Policies.

  • Full Property Buyouts (Pending Holds): Full home buyouts are subject to a separate, customized contract. Any initial booking request made for a full buyout is considered a pending hold. To officially secure the property, this separate contract will require a strictly non-refundable deposit at the time of signing.

Reservation Cancellations, Modifications & Force Majeure 
All standard room reservations cancelled prior to 30 days before the first night of your booking may be cancelled without penalty and for a 100% refund. Cancellations between 14-30 days before the first night of your booking will receive a 50% refund. Cancellations within 14 days of the first night of your booking cannot be refunded under any circumstances.

 

  • Full Property Buyouts & Events (Effective for bookings made on or after June 17, 2026): Due to the exclusive nature of reserving an entire property, full home buyouts are subject to a staggered cancellation and payment schedule. To receive a full 100% refund, cancellations must be formally confirmed 61 days or more prior to the first night of your booking. At 60 days prior to arrival, 50% of the total reservation balance is collected and becomes strictly non-refundable. At 30 days prior to arrival, the remaining 50% balance is collected, and the entire reservation becomes strictly non-refundable. Cancellations made 30 days or fewer before the arrival date cannot be refunded under any circumstances. Note: Full property buyouts formally booked on or prior to June 16, 2026, remain subject to the specific cancellation terms agreed upon and signed at the time of their original booking.

  • Modifications: Modifications to standard room reservations may be made on a case-by-case basis, subject to availability, prior to 30 days before the first night of your booking. Requests for modifications within 30 days cannot be guaranteed. For full property buyouts booked on or after June 17, 2026, any date modifications must be made 61 days or more prior to arrival to avoid penalty.

  • Force Majeure & Weather Disruptions: Hearth Hospitality Group is not liable for any changes, cancellations, or disruptions to your reservation caused by natural disasters, extreme weather, road closures, pandemics, government mandates, or other unforeseeable events beyond our control (Force Majeure). We strongly encourage all guests to purchase independent travel insurance to protect against unexpected travel disruptions.

Agreement Precedence & Third-Party Bookings 
If your reservation was made through a third-party booking platform or Online Travel Agency (OTA), the specific cancellation, tax, fee, and initial payment terms of that platform will supersede the cancellation and payment terms outlined in this agreement. However, all property use rules, liability authorizations, and behavior policies outlined in this document remain strictly binding. When a booking involves a signed separate custom contract or Event Agreement, the terms of that specific document will completely supersede this general reservation policy.

Check-in/Check-Out & Digital Communications 
Specific check-in and check-out times are noted in your boarding pass and on the original property listing. We kindly ask that you follow these times to allow our team to prepare the property to our high standards. Detailed check-in instructions, including access codes, will be delivered via email and/or text. Early arrivals and late departures are subject to availability, must be approved in advance, and will incur an additional fee.

 

  • Digital Communication Consent: By booking and providing your mobile phone number, you authorize Hearth Hospitality Group to send automated and informational text messages regarding your reservation, check-in instructions, and property updates. Message and data rates may apply. Consent is not a condition of purchase. You may reply STOP to opt out at any time. Mobile opt-in data, phone numbers, and consent records will never be shared with third parties, affiliates, or brokers for marketing or promotional purposes.

  • Smart Lock Security: For your security, any digital access codes or smart lock PINs provided for your stay are strictly non-transferable and must not be shared with anyone outside of your registered party. Because these unique keyless entry PINs are generated dynamically and delivered to your mobile device, providing an accurate mobile number prior to arrival is required for automated remote access.

Occupancy, Property Use & Right of Entry 
Each home has a maximum occupancy limit for standard residential use listed on its booking page.

  • Private Events: Any gathering that exceeds the stated maximum occupancy is considered a private event, subject to separate pricing and a signed Event Agreement.

  • Full Disclosure: Failure to disclose a private event or provide an accurate number of attendees is a material breach of this agreement.

  • Commercial Photography: The use of any property for commercial photography, film production, or branded content is strictly prohibited without prior written consent and a separate Location Release Agreement.

  • Right of Entry & Refusal of Service: Hearth Hospitality Group reserves the right to enter guest accommodations for daily housekeeping, maintenance, safety inspections, or emergencies. Management reserves the right to refuse service or immediately terminate a guest’s stay, without refund, if they display aggressive behavior, violate property policies, or cause a severe disruption to staff, neighbors, or other guests.

 

Quiet Hours & Parking

  • Quiet Hours: Quiet Hours are from 10:00pm to 7:00am. All outdoor noise must cease, and indoor noise must be kept to a level that cannot be heard from outside the home. Violations are subject to a fine of $300 per occurrence to cover potential municipal fines and operational responses.

  • Parking: Each room reserved entitles you to one parking spot per room, subject to availability. You agree to abide by all parking instructions provided. We may ask you to vacate spaces if necessary for an event hosted by your party. Where on-site parking is unavailable, guests are responsible for locating legal public parking.

Property Care, Damages, & Excessive Cleaning 
To preserve the historic and bespoke nature of our properties, we require guests to treat the accommodations with the utmost respect.

  • Smoke-Free Environment: All properties are strictly smoke-free. Smoking (including e-cigarettes and vaporizers) is prohibited in rooms, common areas, and all outdoor spaces. Violations will incur a minimum penalty fee of $300 per occurrence.

  • Excessive Cleaning & Biohazards: Standard cleaning is included in your stay. However, rooms left in a condition requiring deep or specialized cleaning (e.g., biohazards, excessive mud, glitter, or heavy stains) will incur a minimum Excessive Cleaning Fee of $250.

  • Damages & Missing Items: Guests are fully responsible for any damage to the property, furnishings, or linens. Removing Hearth Hospitality Group property—including bathrobes, electronics, décor, and antiques—is strictly prohibited.

 

Hearth Hospitality Group reserves the right to charge the payment method on file for the repair, specialized labor, replacement cost, or loss of revenue associated with any of the above violations.

Pet Policy 
Pets may be permitted on a case-by-case basis, pending prior written approval and payment of a strictly non-refundable fee of $125 per night, per pet. Pets must weigh 20 pounds or less. Bringing an unauthorized pet will result in an immediate $500 penalty fee and the potential termination of your stay without refund. Task-trained service animals are exempt from fees and weight restrictions as required by law; however, guests remain fully responsible for any damages or excessive cleaning caused by the animal.

Lost and Found 
Hearth Hospitality Group is not responsible for any personal items lost, stolen, or left behind. Found items will be held for a maximum of 14 days. Guests are solely responsible for all shipping and handling costs associated with the return of found items.

Acknowledgment and Agreement 
By accessing our website, utilizing our services, or completing a reservation, you acknowledge that you have read, understood, and agree to be bound by all the terms and conditions outlined in this Booking and Property Policies agreement. When finalizing a booking, your digital confirmation serves as a binding electronic signature. You accept full financial responsibility for your reservation and expressly authorize Hearth Hospitality Group to charge your payment method on file for the stay and any associated fines, fees, or damages incurred as outlined above.
